Terms & Conditions – Igloo Garden Getaway

IGLOO HIRE BOOKINGS & SERVICES

Definitions In these terms and conditions of hire and service, the following meanings shall apply: “we, us, our” refers to Igloo Garden Getaway. “you, your” refers to the named person on the booking. “your booking" means all arrangements, services and items sourced and organised for you by us. We reserve the right to amend these terms and conditions at any time and you should therefore check them each time you confirm a new booking with us.

The terms and conditions applying to your booking will be those in place on the date that you make your booking.

IN PAYING THE DEPOSIT, THE CLIENT ACCEPTS AND AGREES TO COMPLY WITH ALL THE BELOW TERMS & CONDITIONS.

01. Property Ownership & Responsibility

01.1 All equipment and hire items, including any bespoke and made to order items are the property of Igloo Garden Getaway and remain so at all times throughout your booking and thereafter.

01.2 If you have requested bespoke and made to order items in addition to the standard Igloo hire package, you will be quoted on a hire basis only. If you wish to keep these items after your event you will need to agree this at the time of booking and a surcharge may be required.

01.3 By accepting these terms and conditions, you agree that you are solely responsible for any hire items at all times throughout your booking where we are not onsite at your event, from the time of delivery and set up until they are collected and accepted back by us.

01.4 If any extra items have been hired from sub suppliers through us, those items will always remain the property of the sub supplier throughout the booking and thereafter. By accepting these terms and conditions, you agree that you are solely responsible for any sub supplier items at all times throughout your booking unless we are onsite managing the items at your event, from the time of delivery until they are collected or accepted back by the sub supplier.

02. Payment Terms

02.1 Igloo Hire Packages only - A non-refundable deposit of 50% is due upon booking. Your booking is not for you until the deposit has been accepted by us. You will receive an invoice along with a booking form in order to pay your deposit, and we will advise once payment has been accepted by us. The remaining balance is due 14 days before the date of your booking, and we will send you a further invoice for this amount, unless alternate payment options have been agreed in writing upon booking.

02.2 Any Additional Styling and Dressing Services Outside of Igloo Package Inclusions - A non-refundable deposit of 50% is due upon booking. Your date is not confirmed until the deposit has been accepted by us. You will receive an invoice along with a booking form in order to pay your deposit, and we will advise once payment has been accepted by us. The remaining 50% balance is due 14 days before the date of your booking, and we will send you a further invoice for this amount, unless alternate payment options have been agreed in writing upon booking. In the event of changes of suppliers, venue requirements or styling preferences, prices will be requoted, and any significant increase will be a subject to a 30% deposit.

02.3 When working with sub suppliers on your behalf, we will make payments directly to them in accordance with their payment terms. Where this means that we are required to alter our payment terms to meet their deadlines, we reserve the right to do so and will confirm them to you accordingly

03. Standard Hire Period

03.1 Unless specifically arranged at the time of booking, all standard hires are based on a total of 24 Hour Hire: Day 1: AM delivery/set up slot. Day two: AM dismantle/collection slot. Exact morning time slots are to be agreed at the time of booking between us and the hirer.

03.2 Where items are being hired in from sub suppliers through us, hire periods may vary and will be managed with each supplier individually.

04. Extended Hire

04.1 Extended hire, in 24 hour periods are available on request at an additional fee and can be arranged upon booking dependant on availability.

05. Failure to Pay for or Return Hired Items

05.1 If any issues arise meaning that the Igloo and all hire items are not available for collection at the agreed time you will be charged 50% of the hire value for each additional day the items are away from us. If items are not returned at the agreed time and this impacts another booking, you will be liable for the full value of the second booking, including any delivery charges applicable. If items fail to be returned after an extended period of time you will be liable for the full replacement value and we will exercise our right to pursue you legally for this cost.

05.2 If an agreement has been made to accept late payment, but a final payment deadline has passed, or if failure to pay a damage invoice has taken place, we will pass the debt on to a third party debt collection agency who add their own fees. We will then no longer hold responsibility for the collection of the debt or the fees that may be applied and you will need to liaise with the agency and pay them directly to settle the debt.

06. Hire Item Condition

06.1 On signing the delivery/pick up statement, you are agreeing that the items are in good condition and are as agreed. No complaint on the condition or quality of the items will be valid at a later stage if concerns have not been raised, or if inspection has not occurred before signing this statement. You may not request a reduction/refund on payment based on quality or condition of our items if this statement has been signed. Please make sure that somebody responsible and over the age of 18 is available to sign and inspect items at the agreed time.

06.2 Breakages, missing parts & damages to items will be charged according to the full replacement value.

06.3 If an item you have booked as part of your Igloo Hire package is damaged or lost prior to your hire taking place you will be informed and every effort will be made to replace the item like for like. If this is not possible or if you deem the replacement unsatisfactory, you will be entitled to a refund for that item only. No further compensation will be given.

06.4 Unless agreed by us in advance, all furnishings and props are for use inside the Igloo only; any items used outside of the Igloo are done so entirely at the hirer’s risk. Items damaged by rainwater, mud, animals due to use outside of the igloo will be charged according to section 06.2.

06.5 Where hire items from sub suppliers booked through us are damaged or lost whilst in your care, Igloo Garden Getaway will not be liable for any charges or fees from such sub suppliers.

07. Delivery and Collection

07.1 The Igloo and all hire items must be available for collection at the same address they were delivered and set up at, unless otherwise agreed. Items must not be left in an unsecured location. Please do not attempt to dismantle the Igloo and styled areas, our team will do this for you on collection. The Igloo and all items are your responsibility until they have been signed back over to us. If no-one is present to sign over the items when they are collected, our decision is final as to the condition and availability of the items.

07.2 It is your responsibility to ensure there is legal parking available to carry out the delivery and collection. We will not be held responsible if we are unable to deliver the items due to a lack of legal parking.

07.3 A guide time for delivery and collection will be agreed upon booking. However, please note that this is subject to change in order to fit in other bookings. We will contact you 7 days before your event date to confirm times.

08. Cancellation

08.1 Please note that the agreed deposit is non-refundable in all scenarios.

Refunds available on customer cancellation:

More than 28 days before day one of your hire: Full refund given minus non-refundable deposit.

Between 28 and 14 days before day one of your hire: 50% refund given minus non-refundable deposit.

Less than 14 days before day one of your hire: No refund given.

09. Payment & Pricing

09.1 Payment of your deposit is deemed as confirmation of your booking. Items and services may be added, subject to availability.

09.2 Our quotes are valid for 14 days. Price changes will not affect quotations within the 14 day period.

09.3 Please ensure whenever you make a payment you inform us via email and we will confirm receipt of payment.

All payments to be made according to invoice and booking confirmation. Payment can be made by Bank Transfer to the below details:

10. Safety

10.1 All items are checked before and after hire and undergo regular maintenance. We do everything we can to ensure the safety and safe handling of the items.

10.2 We are not responsible for any injury or damage to animals, property, persons or objects arising from the use of any equipment under hire. We shall not be liable for any direct, indirect or consequential loss, damage or additional costs that may arise as a result of the use of our hire items.

10.3 Once installation is complete, we will advise of the location of all switches, and safe use of all items included in the Igloo hire packages. It is your responsibility whilst items are in your care to ensure safe use and to ensure all electrical items are turned off and unplugged after use.

11. Extreme Circumstances / Cancellation by Us

11.1 In the event of extreme weather or road conditions which result in us being unable to safely travel or set up at your home address/venue, we reserve the right to alter the arrangements for delivery or collection and shall not be liable for any losses or costs to you that may arise as a result.

11.2 Where we are not able to safely travel to your home address/venue and complete a service booked by you, we will do everything possible to find a replacement to carry out the booking. Where we are unable to make alternative arrangements, a full refund will be issued, however we will not be liable for any compensation or additional costs you may incur as a result of our cancellation.

11.3 We reserve the right to refuse/cancel any booking if we feel the items are not suited to the purpose of your hire, or we feel that your event could damage our reputation up to and including the day of your hire. We will not be liable for any compensation or additional costs you may incur as a result of our cancellation. A full refund will be issued.

12. Promotions

12.1 In the case of promotional discounts, only one discount can be redeemed per booking.

12.2 Promotions and discounts are given at our discretion and will be agreed at the time of booking. Once your deposit is received no further promotions may be redeemed against the same booking

13. Liability

13.1 If full monies due are not paid by the date of the booking, we hold no responsibility to fulfil the booking and hold no liability in this circumstance.

14. Management of Items Before and During Event

14.1 Once your Igloo installation is complete, all lights and decorations are checked by us and left in full working and clean order. If required, we will explain whereabouts and operation of any controls to a person nominated by the client and that person will be responsible for turning on any lights/lighting candles or delegating this responsibility.

14.2 It is the hirers responsibility to ensure that all electrical items are used properly and safely in accordance with our delivery instructions and are switched off and unplugged after use.

15. Use of Photos

15.1 We will take photos of our creative work for promotional purposes and reserve the right to use any professional photos of our work in the same way. Please let us know if you have any issues with this and we will aim to accommodate your needs.

15.2 All creative work by us must be credited accordingly. All publications (print, blog, social media etc) must credit us as the supplier for the Igloo, concept & items hired. We are happy for any images to be put forward to blogs but please do let us know if you plan to do this.

16. COVID-19 Regulations

16.1 By signing the booking form and paying your deposit, you are confirming that your booking complies with the current government guidelines on household/bubble only mixing.

16.2 We will ensure that all bookings are completed in a COVID secure manor, with all set-ups completed socially distant from you and that all items are disinfected and cleaned prior to reuse.

16.3 If you have to cancel your booking due to testing positive for COVID-19 or are required to isolate after coming into contact with a person with COVID-19, we will endeavour to re-book you in at the closest possible convenience to both you and us with no fee. In this scenario, your deposit is non-refundable but we will honour any promotions agreed upon at the time of original booking and will endeavour to do everything we can to move your booking to another agreeable date.

16.4 Where possible we require access to your outdoor space via a gate or outside access point to avoid entry into your property. Where this is not possible, we will ensure limited time spent in the property and will always wear protective masks. We may also ask that you plug in your extension cable to your indoor powers source to avoid contact with you and your property.
